Listed below are the volunteer opportunities for the Silent Auction. We know that everyone’s time is precious and at a premium. If you can spare any time it would be Greatly Appreciated.
Pre-Auction Opportunities
Gift Solicitation: Responsibilities include contacting past donors and identifying new donors through personal and written solicitations, and follow-up to ensure promised gifts are received (pick-up donations if requested by donor).
Homeroom Captain: Assist in contacting PJP II families for gift donations and answering questions they may have.
College Corner: Contact PJP II Alumni requesting donations from the colleges they are or have attended.
Correspondence: Assist with copying, collating and stuffing auction information, invitations and tickets.
Ad Solicitation: Contact past and new businesses to place advertisements in the Auction Program through personal and written solicitations, and follow-up to ensure ads are received.
Auction Booklet: Create ads, make changes to ads or get camera ready art. Design book pages and cover (if no student contest). Layout book including item tables (supplied disk ready) and coordinate for photocopying.
Raffle: Assist with selling and tracking of raffle ticket sales.
Publicity/Marketing: Place articles in local papers, supply information to Webmaster to update auction website, supply parish trustees with information for Sunday bulletins, place catchy messages in PJP II newsletters.
Decorating: Assist in ordering/creating decorations which correspond with the theme. Help with decorating on the day of the event and/or the evening prior to.
Night Before Opportunities (Night Before Auction)
Item Transfer: Help with transfer of items to designated tables in gymnasium.
Set-up: Help with set-up and display of items on designated tables.
Night of Opportunities (Night of Auction)
Ticket Sales: Assist with distribution of Auction programs and assignment of bid #’s to guests when they arrive. We will have shifts set-up so that everyone has an opportunity to enjoy the auction.
Serving: Assist PJP II students with butlering of hors d’oeuvres throughout the evening.
Security: Assist with moving of items and table breakdown following table closings throughout the evening.
Checkout/Accounting: Receive guest payments and distribute purchased items.
Cleanup: Taking down decorations, sweeping of gym and multi-purpose room, re-setup of tables in multi-purpose room.
